The ONYSS application at https://www.onyss.co.uk keeps learner and operational records under the agreements that apply to that service. This notice describes this website only.

Information we collect

If you request a demonstration, the form asks for:

• your name
• work email
• organisation
• role
• organisation type
• what you want to discuss
• approximate number of learners supported, if you choose to give it
• current systems or processes, if you choose to give it
• anything else you write in the message

When you submit the form, this website sends those fields by email to info@optimumelearning.co.uk. Resend (resend.com) delivers that email for us. This website does not keep a separate database of the form. We hold the enquiry in that mailbox once the email is delivered.

The host of this website may keep ordinary connection logs, such as IP address, the page requested, and the time of the request, so the site can be delivered and secured. We do not run a marketing analytics suite on these pages, and we do not set advertising cookies. See the cookies notice for the current position.

Why we use it, and the lawful basis

We use an enquiry email to reply, to arrange a demonstration, and to keep a record of that commercial conversation. The lawful basis is our legitimate interest in responding to a business enquiry you chose to send. If the conversation moves toward a licence, we may also use the same correspondence to take steps toward a contract.

Connection logs are used to operate and protect the website. The lawful basis is our legitimate interest in keeping the site available and secure.

You can browse the site without sending the form. To ask for a demonstration we need your name, work email, organisation, role, organisation type, and what you want to discuss. The other fields are optional. Please do not include learner-identifiable or special-category information.

Who receives it

Enquiry emails are read by people at OPTIMUM ELEARNING LTD who handle sales and demonstrations. The mailbox is info@optimumelearning.co.uk. Resend processes the message only in order to deliver it.

The organisation that hosts this website processes connection logs in order to deliver the pages. We do not sell personal information, and we do not pass demonstration requests to a separate marketing list.

How long we keep it

We normally retain sales and demonstration enquiries for up to 24 months after our last meaningful contact, unless a longer period is required in connection with a contract, legal obligation or dispute. This website does not keep a separate copy of the form. We hold the enquiry in the mailbox once the email is delivered. Resend keeps what it needs to send the message and to show delivery records. The host keeps connection logs for its ordinary operational period.

International transfers

The ONYSS application is hosted in the EU. This marketing website is separate. Where the host processes connection logs outside the UK, that transfer uses the UK International Data Transfer Addendum to the European Commission’s standard contractual clauses. Enquiry emails are delivered by Resend, whose main processing is in the United States. Those transfers use the UK Addendum to the EU standard contractual clauses in Resend’s data processing addendum. Resend also participates in the UK Extension to the EU-U.S. Data Privacy Framework.
